Google launches AI-powered Workspace Intelligence: What it is and how it works

Google has officially launched a new AI-powered system known as Workspace Intelligence. As the name implies, it is integrated into Google Workspace and uses Gemini to understand user intent, ongoing projects, and workflows in real time, eliminating the need to manually switch between apps or collect scattered information.

The system connects data from various services such as Gmail, Google Docs, Google Sheets, Google Slides, and Drive to create a unified context for the user’s work. Instead of responding to prompts, it can collect relevant information, prioritise tasks and generate outputs that are customised as per individual work styles and preferences.

Among the notable additions is Ask Gemini in chat, which acts as a central command interface. Users can assign tasks in natural language and the system can respond by creating documents, preparing presentations, scheduling meetings or retrieving files without switching apps. It can also display daily summaries, call out urgent action items and integrate with third-party software such as Asana, Jira and Salesforce.

Workspace Intelligence also improves the core apps including Docs, Sheets and Gmail. Starting with Docs, it can create drafts, generate visuals, and improve content in response to feedback. Slides users will soon be able to create full presentations aligned with company templates. Lastly, Gmail users can benefit from AI-powered summaries and prioritised inbox views to maximise their productivity.

The search engine giant claims that this is built with enterprise-grade security and governance. The data is restricted to user permissions, and the company insists that Workspace data is never used for advertising or external AI training. Administrators will have control over which data sources the system can access.

Workspace Intelligence is now being rolled out to business, enterprise and education users, with broader availability expected in phases starting April 22, 2026.
